Executive Assistant

The Opportunity:

Reporting to, and working closely with, the Chief Development Officer (CDO), the Executive Assistant will be accountable for providing proactive and timely administrative, project management and relationship-building support to ensure the professional, smooth and efficient running of the Office of the CDO. 

Key responsibilities of this role include, but are not limited to:

  • Ensuring key strategic deliverables associated with the Office of the CDO, and revenue development team, are proactively initiated, tracked and managed from start to completion.  
  • As a superior communicator, creates and manages a wide range of CDO communications, including but not limited to fundraising documents, agendas, donor correspondence, presentations, reports, and other materials for the CDO.
  • Creates and edits high level, professional presentations for donors, executive volunteers, internal and external stakeholder groups. 
  • Proactively monitors the CDO’s calendar to ensure that key donor/executive volunteer meetings are prioritized and confirmed in a timely manner, managing materials and deliverables to ensure they are ready and available for meetings and events.
  • Supporting the Fundraising Council through creating and managing agendas, recap notes, tracking projects/priorities and decisions/next steps, and liaising with members to meet ongoing committee needs.
  • Ensuring the effective coordination of key projects relating to the stewardship of donors.
  • Managing the annual Development Planning project, ensuring the revenue development team is activated to complete this annual process in a timely and efficient manner. 
  • Maintaining a superior level of customer service, integrity, professionalism, discretion and confidentiality, as a proud and respected representative of the organization and Office of the CDO.  

Required Skills & Experience:

  • Five (5) years of relevant C-suite support experience gained from a comparable busy and progressive environment. 
  • Proven track record of project management, with superior writing and communication skills.
  • A nimble administrative professional, able to balance competing priorities; detailed-oriented and can work efficiently in a fast-paced environment to the highest professional standards.
  • Self-starter with capacity to work proactively and independently, with little supervision.
  • Commitment to delivering excellence across all work produced, with superior editing skills. 
  • Polished communication and interpersonal skills, with a demonstrated commitment to providing outstanding client service to external and internal stakeholders. French language skills an asset. 
  • Technologically savvy, with proficiency in a wide range of programs and platforms including super user PowerPoint and Excel skills. Raiser’s Edge experience (or similar CRM) an asset.
  • Highly nuanced sense of judgment and absolute discretion with confidential and sensitive information. 
  • Post-secondary degree or diploma in business, administration and/or a related field.
