The Opportunity:

The Administration & Project Coordinator will provide essential administrative, project and office support, and will be trusted to explore innovative solutions that will ultimately result in enhancements in internal operational and fundraising efficiencies. This position is ideal for a detail-oriented project coordinator driven to administrative excellence, with exceptional relationship-building skills.

Main duties will include: 

  • Coordinating the daily administrative operation of the Vancouver office, including administrative assistance.
  • Ensuring key strategic deliverables associated with the Revenue Development team, are proactively initiated, tracked, and managed from start to completion.  
  • Supporting senior members of the Revenue Development team with meeting agendas, scheduling of meetings, overall calendar maintenance, and expense reports etc.
  • Ensuring all donor and prospect activity is captured in the donor database (Raiser’s Edge) along with proposal entry and maintenance. Administer and operate the donor database maintaining accuracy, integrity, and security of all data.
  • Ensuring that key donor/executive volunteer meetings are prioritized and confirmed in a timely manner, managing materials and deliverables to ensure they are ready and available for meetings and events.
  • As a superior communicator, creating, editing and proofing a wide range of materials such as case for support, donor correspondence, stewardship and presentations reports, lists, and other materials as required.
  • Attending and providing support for fundraising and donor relations events. 
  • Supporting donation processing & acknowledgement management, working closely with the nationwide Donor Services team. 

Required Skills & Experience:

  • Three (3) years of relevant experience gained from a comparable busy and progressive environment. 
  • Excellent administrative and project management skills. Meticulous attention to detail while working to meet deadlines. 
  • Exceptional customer service skills. 
  • Proven track record of project management, with superior writing and communication skills.
  • Self-starter with capacity to work proactively and independently, with little supervision.
  • Driven, proactive, energetic, and positive. Customer service and results-oriented professional.
  • Technologically savvy, with proficiency in a wide range of programs and platforms including super user PowerPoint and Excel skills. Raiser’s Edge experience (or similar CRM) an asset.
  • Superior technology and troubleshooting skills. Advanced proficiency in Microsoft Office and SharePoint is required; knowledge of other engagement platforms is an asset. Understanding of navigating basic office equipment and protocols. 
  • Strong interpersonal skills, with the ability to work collaboratively with local and nationwide colleagues and stakeholders, both in-person and remotely. 
  • Ability to use discretion, judgment, and tact when trouble shooting and in handling highly sensitive, confidential information. 
  • Exceptional written, editing, oral and presentation skills. Bilingual (English and Cantonese/Mandarin) language skills an asset.
